Terms of Service

These Terms of Service govern access to and use of AestuteOS, a clinic workflow system operated by Aestute.
By using AestuteOS, you agree to these Terms.
1. The service
AestuteOS provides clinic workflow software for managing enquiries, messages, bookings, consultations, treatment workflows, documents, compliance tasks and related operational records.
The exact features available may depend on the clinic's subscription, configuration and enabled integrations.
2. Authorised users
You must only use AestuteOS if you are authorised by the clinic, business or organisation that controls the account.
You are responsible for keeping login details secure and for using the system lawfully and appropriately.
3. Clinic responsibility
Clinics are responsible for:
- the accuracy of information entered into AestuteOS
- clinical decisions, patient communication and treatment decisions
- obtaining required consents
- complying with applicable medical, advertising, privacy and data protection laws
- ensuring staff are trained and authorised to use the system
AestuteOS supports clinic workflows but does not replace professional clinical judgement.
4. Connected services
A clinic may choose to connect third-party services, including Meta, Facebook, Instagram, WhatsApp, email, website forms or other tools.
By enabling an integration, the clinic confirms that it has permission to connect that service and process related data through AestuteOS.
Third-party services remain subject to their own terms and policies.
5. Acceptable use
You must not use AestuteOS to:
- access data you are not authorised to view
- upload unlawful, harmful or misleading content
- send spam or unlawful marketing
- attempt to bypass security controls
- interfere with the availability or integrity of the service
- misuse patient, client or clinic data
6. Data and privacy
Use of AestuteOS is also governed by our Privacy Policy.
Where AestuteOS processes clinic-controlled data, the clinic remains responsible for its lawful use of that data.
7. Availability
We aim to provide a reliable service, but we do not guarantee uninterrupted or error-free access. Maintenance, updates, technical issues or third-party service interruptions may affect availability.
8. Intellectual property
AestuteOS, including its design, software, workflows, interface, documentation and related materials, belongs to Aestute or its licensors.
You may not copy, modify, resell or reverse engineer the service except where permitted by law or agreed in writing.
9. Limitation of liability
To the fullest extent permitted by law, Aestute is not liable for indirect, incidental, special or consequential losses, including loss of profits, loss of business, loss of goodwill or loss of data.
Nothing in these Terms limits liability where it cannot legally be limited.
10. Suspension or termination
We may suspend or restrict access where we reasonably believe there has been misuse, unauthorised access, non-payment, legal risk or breach of these Terms.
11. Changes to these Terms
We may update these Terms from time to time. The latest version will be available on this page.
